How to set up automatic emails for clients to evaluate service quality (project management)?

The 'Client Evaluation' function in the 'Projects' module allows you to automatically request the client to evaluate the completed work (by task or project) — when the task transitions to a specified stage or periodically. An email with a link to the evaluation form is sent automatically according to the template you specify.


Step 1: Enable the 'Client Evaluation' function

1. Go to  module "Settings", section "Projects":


2. In the section Analytics check the 'Client Evaluation' box and save:


Step 2: Enable the evaluation option for the project

1. Click on the three dots in the corner of the project card, and go to settings:

2. In the "Analytics" section, check the "Client Evaluation" box and choose the evaluation method - upon reaching a certain stage, or periodically while the task is at a certain stage:


Step 3: Link the evaluation email template to the project stage

1. Open the project. For the required stage, click on the gear icon - "Edit":

2. In the 'Evaluation Email Template' field select the email template that will be used for evaluation. By default, the 'Project: Task Evaluation Request' template is used. If necessary, you can also create your own template. Read how to do it here. here.

3. Optionally: you can enable in the stage settings 'Automatic Kanban Status' — then the task status will change depending on the client's evaluation (for example, 'Approved' for positive feedback, 'Request for changes' for neutral or negative feedback).

 

Step 7: Where to view results and reports

Responses/ratings are collected in the "Project" module - "Reporting" section - "Client Evaluation" (you can also see the latest rating in the task's "smart tab"). This allows for the analysis of satisfaction across tasks and teams.
